Activities explained

What are the possibilities with the activities feature?

Share events and manage attendance with the activities feature. The entire organisation of an event can be done in the Bundeling app. Invite users to an event by creating an event and enabling attendance. Users can register their attendance in the (web) app, to make sure you always have a complete visitor list.

Enhance your content by sharing files, including links and embedding YouTube videos. Learn more about sharing files in activities in the Sharing files, links and videos article.

Creating events

How do I create a new event?

Events can be created in the Dashboard. Set up an event, add all information you would like to share and invite users to the event:

  • Navigate to the Activities overview in the Dashboard.

  • Click the Add button at the top of the screen.

  • Add a Title and Location.

  • Select correct Attendance settings for the event.

  • Add textual and visual content of the event in the Description field.

  • Complete all Date settings for publication and attendance registration.

  • Complete any other settings you would like to change.

  • Enable Send push notification on notification date if you want to send a push notification.

  • Click Save as draft or Plan to save changes.

Only want to invite a select group of users to the event? You can do so by adding labels. Learn more about labels in the Labels article.

Can a user register guests when attending an event?

Yes. If registration is possible for an event a user can register their attendance in the app. When guests are allowed for the event the user can also register how many guests he is bringing.

What do the different types of attendance mean?

When selecting Attendance settings for an event, you can choose between disabled, basic and advanced:

  • With the Disabled option users can't register for this event.

  • Basic attendance will let users register with a simple yes or no question, and optionally a note and amount of guests.

  • Advanced attendance gives you the option to create registration forms with additional questions.

How do I attach a form to the attendance registration of an event?

Forms can be used in a versatile way. If you need to know more about the visitors for your event, you can easily request this information by creating a form and attaching it to the attendance registration of an event. Think of dietary wishes or information about guests the user is bringing.

  • Navigate to the Activities overview in the Dashboard.

  • Add or Edit the event.

  • Select Advanced for Attendance.

  • Select the form you want to attach to the attendance registration of the event.

Learn more about creating forms in the Forms article.

How do I cancel an event and notify all visitors?

Do you need to cancel an upcoming event that you have already published in the (web) app? You can cancel the event in the Dashboard and immediately notify all visitors to make sure everyone stays up to date.

  • Navigate to the Activities overview in the Dashboard.

  • Click the Cancel button for the event at the right side of the screen.

  • You are about to cancel an activity and can notify users who are attending the event.

The cancelled activity can not be edited, will be moved to the archive after 24 hours and registration will be closed.

  • Enable Send update email to all attending users to send an update email and a cancelled calendar invite to all visitors that are attending the event.

  • Enable Send push notification on notification date if you want to send a push notification about the cancellation.

  • Click Cancel to cancel the activity.

If you wish to delete a published event completely, you can do so by deleting the event in the Dashboard. Deleting an event doesn't notify any users.

How long are events visible in the app?

By default events are visible in the overview for 48 hours after the end date. After this time past events are available in the events archive.

Where can I find past events in the app?

In the events overview in the (web) app you can find all active and upcoming events. Events that already took place can be found in the archive.

  • Navigate to the Activities overview in the (web) app.

  • Tap or click the toggle icon in the top bar to display the archive.

Is it possible to add weekly recurring events only once?

No, you can’t add recurring events, but you can copy a previously created event. You can do so by clicking on the event in the Dashboard: in the top right corner is a Copy button available.

Manage attendance registration

How can I see who are attending an event?

Event attendance registration can easily be managed in the Dashboard. With our forms plugin you can even add forms to the registration for events. All information from the registration of visitors can be found in the visitors list where you can export all data to a useful Excel spreadsheet.

  • Navigate to the Activities overview in the Dashboard.

  • Click the Activity.

  • Scroll down to Visitors to see an overview of all registered users.

  • Click Export to download an export of the visitors list.

  • Open the Excel spreadsheet to find an overview of the visitors and their information.

A user signed up for an event outside of the app. How can I make sure the visitor list is complete?

In Bundeling you can keep a complete account of all visitors that are attending an event. A user signed up for an event by phone or email? No worries, you can manually register this user as an attendee of the event to keep this complete:

  • Navigate to the Activities overview in the Dashboard.

  • Click the Activity and scroll down to Visitors.

  • Click Add attendee.

  • Select the user you want to add in the User dropdown.

  • Click Add attendee to add the user as an attendee.

How can I send a (news) message to all visitors of an event?

When you organise an event you may want to inform all attendees at the same time. You can easily do so by automatically creating a label in the background for all users who are attending the event. This label can be attached to a news item for example. You can create this label by following these steps:

  • Navigate to the Activities overview in the Dashboard.

  • Edit the activity and scroll down to Communication.

  • Check the box Create label for attending users.

  • All attending users receive an additional label on the background with the name and date of the activity.

This option is not enabled by default. If you want to use this feature for your organisation, you can send us a message.

Event pictures

How can I add pictures to an event?

With event pictures you can increase visitor engagement. During the event, and before the event is moved to the archive, all attending users can add pictures in the activities overview of the (web) app. A nice recap of the event and an incentive for other users to attend next time. Managers can add event pictures in the Dashboard:

  • Navigate to the Activities overview in the Dashboard.

  • Click the Activity and scroll down to Action photo.

  • Click the Upload button.

  • Select one or more pictures and add.
